1. Who we are

This notice explains how Vertiq Training Ltd ("we", "us", "Vertiq") collects and uses personal data when you use this website, enquire about our training, or study with us.

Vertiq Training Ltd is the data controller for the personal data described in this notice.

2. What we collect

When you make an enquiry — through a form on this site, by email, by phone or by WhatsApp:

  • Your name
  • Your email address and telephone number
  • Your employer or company name, where you give it
  • Which training you are interested in, and your current role
  • Anything else you choose to tell us in a message

When you become a learner, we additionally hold:

  • Registration details required by the awarding organisation
  • Your learning record, progress and assessment results
  • Portfolio evidence you submit, which may include workplace photographs and witness testimony
  • Date of birth, prior qualifications, and employer sponsor details where an employer is paying for your training
  • Business contact details we have sourced ourselves. If you work in the lift or escalator industry we may hold your work name, job title, work email address and employer, obtained from a business contact database or from publicly available business sources. See section 3a.

When you use this website, we may collect technical data such as your IP address, browser type and pages viewed. See section 8 on cookies.

3a. Where we got your details, if you did not contact us

If we have contacted you and you have never been in touch with us, we did not get your details from you. We will have obtained your work name, job title, work email address and employer from a business contact database which collects and verifies business email addresses from publicly available sources, or from publicly available business sources directly. We do not buy consumer lists and we do not use personal or home contact details.

We do this because we provide occupational training for lift and escalator engineers, and we believe the people doing that work have a genuine interest in hearing that it exists. That is our legitimate interest. We have weighed it against your interests and rights, and we keep a written record of that assessment which you may ask to see.

You have an absolute right to object. If you tell us to stop, we will stop, and we do not need a reason. Every message we send tells you how: reply with the word STOP, or email info@vertiqtraining.com at any time. We will then keep only enough of a record to make sure we do not contact you again.

We contact people at their place of work about their work. If you would rather we did not hold your details at all, say so and we will delete them.

4. Who we share it with

  • Awarding organisations — if you go on to be registered for a qualification through us, we will share the details that registration requires. We will tell you which organisation before that happens, and they act as their own data controller for what we pass them.
  • Our assessors and internal quality assurers, including associates working on our behalf under written agreement.
  • Our service providers — the learning platform (MoodleCloud), our website host, our CRM, messaging and telephony platform (GoHighLevel), and our email provider.
  • Regulators and auditors where we are required to provide information.

We do not sell your personal data, and we do not share it for third-party marketing.

4a. Transfers outside the UK

Our customer relationship and communications platform is GoHighLevel, operated by HighLevel Inc., which is based in the United States. Enquiry details, message history and call records held in that platform are therefore stored and processed outside the United Kingdom.

If you accept analytics cookies, website usage data is collected by Google Analytics, provided by Google LLC in the United States. Google relies on the UK Extension to the EU-US Data Privacy Framework and on standard contractual clauses as the safeguard for that transfer. If you choose Reject, nothing is sent to Google.

Where personal data is transferred outside the UK we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, together with the provider’s own contractual commitments, as the safeguard required by Article 46 of the UK GDPR. You may ask us for details of the safeguards in place by emailing info@vertiqtraining.com.

Vertiq Training’s sub-account within that platform is administered on our behalf by EdTech Assurance Limited (company number 17089971), acting as our processor under a written data processing agreement.

5. How long we keep it

  • Enquiries that do not become bookings — 12 months from your last contact with us.
  • Learner records and assessment evidence — for as long as the awarding organisation requires, and then a further three years. Awarding organisations commonly require at least three years themselves.
  • Financial records — six years, as required by HMRC.
  • Marketing contacts — until you unsubscribe, and then only a suppression record so we do not contact you again.
  • Business contacts we sourced ourselves: 12 months from when we obtained them if you never respond, and then deleted.
  • Website analytics data: 14 months in Google Analytics, and only if you accepted analytics cookies.

6. Your rights

Under UK data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you
  • Ask us to correct data that is wrong or incomplete
  • Ask us to delete data, where we have no continuing reason to hold it
  • Ask us to restrict how we use it, or object to our use of it
  • Ask us to transfer it to another provider, where it was provided by you and we rely on consent or contract
  • Withdraw consent at any time, where consent is our basis

To exercise any of these, email info@vertiqtraining.com. We will respond within one month.

Some rights are limited where we must keep records to meet awarding organisation or legal obligations — for example, we cannot delete an assessment record that a qualification depends on.

7. Automated call handling

Calls to our published number may be answered by an automated assistant. It can answer questions about our training, take your details and book appointments, and will pass you to a person where it cannot help. Calls may be recorded or transcribed so we can respond to your enquiry and improve the service. All calls to our published number are recorded. You are told this at the start of the call, and if you would rather not be recorded you can email us instead. Recordings and transcripts are kept for 90 days and are then deleted. We may keep anonymised information taken from calls — for example which courses are asked about most often — to improve the service. Anonymised information cannot be traced back to you and is not personal data.

8. Cookies and analytics

We use Google Analytics to understand which pages people find useful. It sets cookies in your browser and sends usage data to Google, including a shortened version of your IP address. We do not load it, and it sets nothing at all, unless you choose Accept on the cookie banner. Choosing Reject is equally easy and leaves the site working normally, and you can change your mind at any time using the Cookies link in the footer. Google processes this data outside the United Kingdom: see section 4a. This site uses cookies that are strictly necessary for it to work. If we use analytics or marketing cookies, we will ask for your consent before setting them, and you can change your choice at any time.

When you send an enquiry we also record which advert, post or search brought you to the site, where that appears in the web address you arrived on, along with the name of the site that linked to you. We never record the full address of the page you came from. This tells us which channels are worth continuing with, and it is kept with your enquiry. If you accept cookies we remember it while you look around, so it is still there when you reach the enquiry form. If you do not, it is included only when you enquire on the page you arrived on, and nothing whatever is stored on your device. Withdrawing consent deletes it.

If you are unhappy with how we have handled your personal data, please tell us first at info@vertiqtraining.com so we can put it right.

You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113.

10. Changes to this notice

We may update this notice from time to time. The date at the top shows when it was last changed.
